What can Conference and Guest Services do for you?

We serve as a gateway to on-campus resources for program planners. In effect, we are a one-stop option for all of your conference, camp, or workshop logistics needs — providing a single point of contact, a single contract, and a single invoice for a variety of services. We know your time is valuable, so we are here to help! Our staff will work with camp and conference planners to curate options for housing, dining, meeting space, recreation space, parking, and more — so that you and your team can focus your energy on creating a dynamic learning experience for your participants.


Housing

As a unit of NC State’s University Housing department, Conference and Guest Services is uniquely positioned to offer a wide selection of convenient and affordable on-campus lodging options for your summer camp, professional conference, or workshop. On-campus housing is available in a variety of double and single-occupancy residence hall rooms as well as a selection of on-campus apartments. In general, availability of on-campus residential facilities for group use is limited to the summer season — from mid-May through the end of July. Limited availability in on-campus Guest Apartments may be possible during the academic year for small-scale adult programs.

Meals

While staying with us on campus, we hope you take advantage of our NC State Dining services. Conference and Guest Services staff can help you coordinate daily meals, special events, break service, or even bar service. Depending on your schedule and location, we are happy to assist you in coordinating all of your food and beverage needs during your on-campus experience.

Options include all-you-care-to-eat cafeteria-style meals, on-campus food courts, and convenience stores. Please note that while on-campus meal service is not a requirement, all summer programs utilizing on-campus dining halls are asked to coordinate their meals through our office to ensure an efficient schedule among various programs during the busy summer months. Also available to our conference planners are banquet and catering services for special meals, buffets, boxed meals, and break service.

Meeting and Classroom Space

Most programs need meeting space — whether an informal gathering spot, a fully functional auditorium, or a ballroom space. All residence halls on campus have lounges and common areas which can comfortably accommodate 15-30 people; these spaces may be reserved for use by groups within their assigned housing buildings. However, if you need more formal meeting rooms, space is available across other parts of our campus. NC State student centers, libraries, academic buildings, and the McKimmon Center offer traditional meeting rooms and classroom spaces in a variety of formats and sizes to meet your needs! Our team is happy to work with partners across campus to identify and book one or more meeting spaces appropriate for your program. Because availability of space can be limited, and costs may vary depending on space rented, program coordinators are asked to provide as much detail as possible about their specific meeting space needs at the initial stages of planning for their programs.

Parking

Parking is something no one likes to worry about, so we’ve taken the worry away! If your participants plan to bring a car to campus, parking permits can be provided for a daily fee. Our office collaborates with NC State Transportation to offer parking solutions catered to your program’s needs. Parking permits are required across all areas of NC State’s campus Monday-Friday from 7am until 5pm.

Recreational Facilities

The university has a wide variety of recreational facilities available for conference guests. Indoor and outdoor sports and fitness equipment are available. Tennis and basketball courts and weight rooms can be part of your stay at NC State. For more information visit the NC State Wellness and Recreation website. Communication Service

All rooms have wireless high-speed internet access. If you would like direct access we can provide a secure ResNet ID for a nominal fee. We can also provide Unity computer IDs for groups wishing to use a campus computer lab.

Conference Logistics

Upon request, additional services including on-site and pre-registration assistance, off-site rental coordination, and student ambassador support may be provided subject to availability.
